For Collaborative Team Meetings, Use This Agenda Template

Regular team meetings reinforce trust, build stronger relationships, and foster consistent communication.  Whether you gather weekly, monthly, or quarterly, a standing agenda provides direct reports with a flow and familiarity for each session. Use the template below to encourage everyone on the team to participate in your meetings. 

Team Meeting Agenda Template

  • Share Some Good News

    • Open the meeting by asking the group to share positive things going on in their lives.

  • Team Updates

    • Ask the team for the status on specific internal and external projects.

  • Client Visitor

    • Occasionally, invite a client to join your meeting virtually or in person.  This is a fantastic way to strengthen client relationships.  Allow the client to give a 3 to 5 minute update on the happenings in their business, and offer a brief Q&A afterward.

  • Upcoming Events

    • What key dates does the team need to be aware of in the short- and long-term?

  • Who Needs Help?

    • Make the ability to ask for support a regular occurrence on your team.  Recognize when requests become high or frequent to address burnout.

  • Open Discussion

    • Leave time at the end for a catch-all in the event important items or thoughts arise during the meeting.

For each agenda item:

  • Note the discussion lead.

  • Note any action items discussed during the meeting, including owner and due date.

  • Estimate time needed to cover the item. 

Other best practices:

  • Empower your team. Rotate the meeting host/meeting note taker for each meeting.

  • Finalize and share the agenda at least one day before the meeting.

  • Play music before the start of each meeting.
